Just curious how are our entries confirmed for those are using FTP? Do you guys wait for the entries to come in the mail and cross check with the emails for the links or vice versa? I just want to avoid the mishap that I had last year of using disks because it created issues with my entries. Now I went back a FTP setup to be safe. but I'm not even sure if it's the right place to ask because Michael has been recently posting only on the AX forums. Though I'm too lazy to post over there because I keep forgetting my login. <.<

There has been some confusion and I think I need to re-clarify something I am pretty sure has already been clarified on both forums this contest posts on (Anime Expo Forums and a-m-v.org).

For those of you submitting your entries and emailing your links via online submission. If you haven't already sent your links then stop. You have missed the deadline. The postmark deadline for mailed in entries and Online submission entry forms is the same. April 30th.

There have been a few of you who have tried to rules lawyer it stating that because the rules did not explicitly state we had to have your links by April 30th you should be allowed to wait till the postal receipt deadline of May 6th.

No. As has been stated before when asked bout this very topic, to allow the Online submission folks to not provide their links till as late as May 6th gives them an unfair advantage over those who USPS mailed their entries to us. It effectively gives them a whole extra week if we were to do it that way.

If we were to do this I would have all of those who actually mailed in their entries up in arms wanting to lynch myself and Nikki (and they would be rightfully angry.)

For those of you who misread the rules I am sorry. But to make those exceptions would be effectively equivalent to slapping and spitting on those who did follow the rules.

I do post here as well. Just not alot on either side unless there is something that really needs my attention. :)

To answer your question. We get the email with the links. Then we wait for the snail mailed entry form. We may or may not pull down the files and set them aside in advance depending on time and how busy my other AX/real work (Citrix Online) duties keep me.
Once the files are downloaded we watch them to make sure they aren't corrupted and play clean. Then label them accordingly and put them into the appropriate folder on the HDD (which is then backed up to my 16 TB Drobo so there won't be any risk of catastrophic failure....or at least it significantly lessens the possibility)

Once the files have been viewed and verified, we then send out the confirmation.

Once judging is done and tallied we then send an additional email to the finalists and post the list.

I hope this helps without showing too much of how the sausage is made, as it were.

I had also read it as if the video link wasn't really due until the 6th.
Had I not been following the thread and reading 25 pages full of posts, I would have missed the deadline as well.

Well that's a definitive an answer as I could have hoped for and it seems to be intended to promote fairness. I trust that the rules document for next year will be amended to avoid further confusion. If you're taking suggestions maybe only offering one method of submission (E.G. only By Mail or only Online) would keep this from becoming an issue.

Can I ask how many entries were turned away by this ruling?

What I've been doing is sending the files on CD with a download link on the entry form as well. Might be a little overboard, but I figure if there is a problem with one, then there's still a backup.
